This guide walks you through creating your first email campaign from start to finish.



> Note: You need at least one recipient list before creating a campaign.

Step 1: Basic Information



To create a new campaign:

  • Navigate to Campaigns from the main menu

  • Click the "Create New Campaign" button

  • Fill in the campaign details:

  • - Campaign Name: A descriptive name (e.g., "Spring Concert Series 2025")


    - Email Subject: The subject line for your emails


    - Client (Optional): Link to a specific client


    - Description: Additional notes about the campaign

    > Tip: Use descriptive campaign names that help you identify them later. Include dates or event names for clarity.

    Step 2: Select Email Template



    Choose how you want to create your email content:



    Option A: Use Existing Template



  • Select a template from the "Template" dropdown

  • Templates are organized by:

  • - General Templates: Available to all users


    - Client-Specific Templates: Linked to specific clients


  • The template content will be loaded automatically when you customize the campaign

    Option B: Create Custom Content



  • Select "Create New Template" or leave template empty

  • You'll customize the content later in the "Customize & Send" page

  • This allows you to write unique content for this campaign


  • > Note: You can always change the template or create custom content later in the "Customize & Send" page.

    Step 3: Select Recipient Lists



    Choose one or more recipient lists for your campaign:



    Types of Recipient Lists



  • Public Lists (🌐 Globe icon):

  • - Pre-populated lists (e.g., "Opera Houses - Level A", "Orchestras - Germany")


    - Available to all users


    - Automatically updated



  • Private Lists (🔒 Lock icon):

  • - Your personal lists


    - Custom contact lists you've created


    - Only visible to you



  • Custom Lists:

  • - Lists with manually added contacts


    - Appear in a separate "Custom Lists" section


    - Useful for targeted campaigns

    Selecting Multiple Lists



    - Check the boxes next to lists you want to include


    - Recipients from all selected lists will be combined


    - Duplicate contacts are automatically handled



    > Warning: Selecting many large lists may result in a large number of recipients. Review the recipient count before sending.

    Step 4: Save Campaign



  • Review your selections

  • Click "Create Campaign"

  • You'll be redirected to the "Customize & Send" page

  • Customize Content: Edit the email subject and content

  • Create campaign with name "Spring 2025 Concert Series"

  • Select a general announcement template

  • Select relevant recipient lists (e.g., "Opera Houses - Level A")

  • Customize content with concert details

  • Send to all recipients


  • Use Case 2: Client-Specific Campaign



    Scenario: Sending updates to a specific client's contacts

  • Create campaign linked to the client

  • Select a client-specific template

  • Select client's custom recipient list

  • Personalize content for that client

  • Send campaign

    Troubleshooting



    Problem: "No recipient lists available"

    Solution:

    - Create a recipient list first in the Recipients Lists module


    - Or use one of the public lists available



    Problem: Template not loading

    Solution:

    - Verify the template exists and is accessible


    - Try selecting a different template


    - You can always create custom content later



    Problem: Can't select multiple lists

    Solution:

    - Make sure you're checking the boxes next to list names


    - Lists must be active and accessible to your account
